Introduction

Role-Based Access and User Privileges help ensure that system users have access to the information and system functions they need—while protecting sensitive data from unnecessary access.

Horizon allows organizations to assign access based on each user’s role, responsibilities, program, or workflow. Permissions can control who can view, enter, edit, manage, export, or administer information. Secure role-based access and system controls help maintain appropriate separation of responsibilities while supporting secure collaboration. When properly configured, role-based access helps organizations strengthen data privacy, security, accountability, and compliance while making it easier for teams to work together. 

As shown in the table below, ARETGroup Horizon offers various roles and privileges. Assigned system Managing Administrators control privileges for each site.

Add or Edit Users

Managing Administrators for each site can add users, edit their privileges, and access data downloads. Individual users are able to reset their own passwords. All of the information found here can be accessed through the ARETGroup Horizon Online Manual and Support Tools found in System Settings.

Adding a User:

The Add User option allows you to create new user accounts. This is typically available to admin-level users.

Steps to Add a User:

  1. Click on the "Add User" option from the Settings drop-down menu.

  2. Fill out the following information:

    • Username: Choose a unique username for the new user.

    • Email: Enter the user's email address.

    • User Type: Select the user type (e.g., admin or user).

    • New Password: Create a password for the new user.

    • Confirm Password: Re-enter the password to confirm it.

  3. Click "Create" to create the new user account.

Tip: Ensure the email address is correct as it may be used for account recovery and notifications. The system will give you live feedback to enable you choose unique usernames which have not already been used.

Edit Users

The Add/Edit User option allows you to manage existing user accounts and add new ones. This is an essential tool for admin-level users to maintain the user database.

How to Edit a User:

  • Click on the "Add/Edit User" option from the Settings drop-down menu.

  • You will see a list of all users in the system (specific to your site).

  • To edit a user, click on the "edit" button next to their username.

  • Update the following details as needed:

    1. Username: Modify the username if necessary.

    2. Email: Update the user's email address if necessary.

    3. User Type: Change the user type (e.g., admin or user).

    4. Password: The new password if necessary (Note if you choose to update the password for security reasons, you will also need to check the "Updated Password" checkbox).

  • Click "Save" or "Update" to apply the changes.

Tip: Use the search function to quickly find a specific user.

Delete a User

How to Delete a User:

  • Click on the "Add/Edit User" option from the Settings drop-down menu.

  • You will see a list of all users in the system (specific to your site).

  • Scroll to the User you want to delete and click the delete button on the right side of the username
